Meinders Community Library Board Policy 600
Policy: Gifts and Donations Originally Adopted Next Review
Current Version Adopted   January 9, 2019  May 2022

Purpose: To expand Library collections, resources, materials and offerings through the generosity of individuals, groups and organizations, and to recognize the means in which those donations will be handled.

Section 1: Gifts of Books and Other Materials:

The library accepts gifts of used books and other materials with the understanding that they will be added to the collection only if appropriate and needed.

  • Paperback fiction will be accepted with copyright dates up to two (2) years old, nonfiction and hardcover fiction with copyright dates up to five (5) years old. DVD’s and audio CD’s must be current and in good condition.
  • If items are not needed because of duplication, condition, dated information, or lack of storage to house the used material prior to a sale, staff has the right to decline the donation. Items that smell of smoke or are dirty or damaged will not be accepted.
  • Encyclopedias, text books, and any books with water-, smoke-, or pet-damage will not be accepted.
  • Adopt-a-Book events may be held throughout the year with a Library wish-list and prices. Patrons may purchase books for these events and a name plate of the donor will be placed inside the books

Section 2: Monetary Gifts

Monetary gifts may be unrestricted or designated as memorials or tributes to honor a friend or relative. Specific titles for memorials can be ordered for the library by request of a patron. It is desirable for gifts of specific titles to be offered after consultation with the library director. The director will make item selection if no specific item is requested. Materials selected will use the criteria of the Meinders Library selection policy.

Donors of money may suggest specific furniture, equipment, or artwork to be acquired. The Meinders Community Library Board reserves the right of final selection in order to meet the space, utilization and design of the building.

Section 3: Acknowledgement of Gifts

Meinders Library is thankful for all gifts and can provide a receipt if requested. Funds can be donated to the Pipestone Area Friends of the Library (a 501.3 C) or to Meinders Community Library. A letter acknowledging the receipt of the gift will be sent to the donor upon request.

*The library reserves the right to decline, discard or sell any item donated to the library. The Library does not provide appraisals of gifts or potential gifts.
